Import Contacts

Now you can...

    Import your existing contacts into the system and start sending emails to these contacts.

    Have a central place to store all of your contact data.

    Easily export contacts from outlook or other list.

IMPORTANT NOTE: When you import contacts, those contacts will be set to “Restricted” status until they opt in to receive emails from you. “Restricted” Contacts can only be sent “Follow up” emails. “Restricted” Contacts will not be sent autoresponder email campaigns or email broadcasts. Once your imported Contact has opted in to receive emails from you, his/her status will change to be “Confirmed.” “Confirmed” Contacts can be sent autoresponder email campaigns or email broadcasts. The reason that your Contacts need to opt-in is to avoid SPAM complaints, so the system can provide great email deliverability.

Click the Generate Prospects on the main menu and then click the Import Contacts link.

To import your contacts:

1.  Select the Category you want to put your imported contacts in from the drop-down.

2.  Select Yes or No under “Once your contacts have opted in to receive Email communications from you, do you want them to receive the autoresponder campaign associated with this category?” and click the Continue button.

    If you select Yes, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to be sent to these imported Contacts.

    If you select No, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to NOT be sent to these imported Contacts.

3.  Next, you need to identify the data you are importing. In the table, the Field Name column displays the data in the first row of your CSV file. Use the drop-downs in the Identify Field Name column to identify the data on your file. The system will place the data from the CSV file in the appropriate Contact Details fields based on your Identify Field Name selections. Select the “Do not import” option for data that should not be imported (like data there is no field for in the Contact Details).

4.  If your CSV file’s first row is a header row that does not have real contact data, DON’T check the “The above Field Names are not column headers” checkbox. If your CSV file’s first row is NOT a header row and has real contact data in it, check the “The above Field Names are not column headers” checkbox. If this checkbox is selected, then the system will identify the first row as data to be imported.

5.  Click the Save button. A pop up will appear asking you if you want to send the opt-in email to your imported contacts so that they can opt in to receive emails from you.

NOTE: If you choose to not send your imported contacts the opt-in Email now, your imported contacts will stay in “Restricted” status. If you choose to not send your imported contacts the opt-in Email now, you can send an opt-in email to a Restricted Contact in the future on the Contact Details page.

REMEMBER: Contacts with “Restricted” status can only be sent one-time Follow-Up Emails. Contacts with “Restricted” status cannot be sent Autoresponder Emails or Email Broadcasts.

To import your contacts from Yahoo, Windows Live, Hotmail, MSN, Gmail, AOL, Plaxo or Microsoft Outlook:

1.  Click the Import Contacts from Your Address Book tab.

2.  Click the Click here to add Contacts from Address Book link. Select the Address Book you want to import from in the pop up.

3.  Follow the steps presented to grant access to your address book for the import.

4.  Select the contacts to import from the options presented. The contacts you select will display in the window in the Import Contacts from Your Address Book tab.

5.  Click the Continue button.

6.  Select the Category you want to put your imported contacts in from the drop-down. Select Yes or No under “Once your contacts have opted in to receive Email communications from you, do you want them to receive the autoresponder campaign associated with this category?” and click the Continue button.

    If you select Yes, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to be sent to these imported Contacts.

    If you select No, then if and when your Contacts opt in to receive emails from you, the campaign associated with the category will be assigned to NOT be sent to these imported Contacts.

7.  The system will tell you once the import is complete. Click the Continue button. A pop up will appear asking you if you want to send the opt-in email to your imported contacts so that they can opt in to receive emails from you.

NOTE: If you choose to not send your imported contacts the opt-in Email now, your imported contacts will stay in “Restricted” status. If you choose to not send your imported contacts the opt-in Email now, you can send an opt-in email to a Restricted Contact in the future on the Contact Details page.

REMEMBER: Contacts with “Restricted” status can only be sent one-time Follow-Up Emails. Contacts with “Restricted” status cannot be sent Autoresponder Emails or Email Broadcasts.
